A large Oil and Gas company had over 100,000s of Geological, Scientific and Office Documents spread over dozens of Shared Network Drives. These documents and files were extremely valuable assets for performance tracking, monitoring and execution globally. However due to lack of Data Governance and Master data management, The business stakeholders were often struggling to:

    • Find the reports or documents as and when required
    • Track and monitor missing/incomplete data
    • Search the content of documents due to large number of scanned documents
    • Identify and remove duplicated files

Phase 1: the project started with our team reviewing the files ,how much data is there , where the files, folders and subfolders are and type of data . 

Phase 2: After the review was completed; A clear data governance strategy with necessary folders/subfolders was created and agreed with the client. 

Phase 3: Our expert AI experts used advanced AI algorithms to learn the file structure and type of documents/file at each location hence, the files could be moved into agreed master folders/subfolders automatically.

Phase 4: A gap analysis dashboard was created so the business could track and monitor the completeness of the data in one centralised portal.

As a result of our work, at least 90% of documents were automatically organised into the right folders/subfolders and our solutions enabled the client to:

    • Find the reports or documents as and when required
    • Track and monitor missing/incomplete data
    • Search the content of scanned documents
    • Identify and remove duplicated files, almost 10% of the data was duplicated.
